If you want to change the sharing specifics on one document in a folder but not others, you'll have to move the document to a different folder. This is a catastrophic design flaw. Worse, there's not even a clear "share" link. You have to find the "Shared with" entry in each folder, click on the "People I selected" link, then "Edit permissions," then enter the name of the person or people you want to share with, and then, once that person shows up in your sharing list, you have to change the default permission from "view" to "edit."

Google, for its part, lets you share files from within the files themselves, by selecting "Invite people" from the "Share" menu. It makes much more sense. You can also see all your Google docs in one big list. With Microsoft, you have to page through your folders to see your documents. Microsoft Office 2010 does have a nice browser plug-in for drag-and-drop uploading of files, however.

That's a bonus, but not enough of one to offset the awful sharing workflow.

Similar features for collaboration have been built into other Office 98 components, such as Word. Changes to a document are added incrementally to the original file, so users can open up any version of the document at any time; users can keep track of different version according to the time changes were made.

One of the additions to Office 98 for the Mac that hasn't yet appeared in the Windows-based version is the "self-repairing application" technology. With this feature, Office 98 software will find and restore deleted files, sometimes called "shared library" files, which are critical to the implementation of a program. "Library" files are reusable pieces of program code used to share functions or resources among programs.
Previously, Office software had problems starting--and in some cases wouldn't run--if these files were missing.

Other new features include a drag-and-drop installation method (in which users load a CD, drag the Office folder onto the hard drive icon, and the program installs itself), a faster thesaurus feature, and a technology called Office Assistant that provides interactive assistance as a user works in an application. Excel 98 will allow users to create formulas more intuitively. The new version of the popular suite will increase automation of routine tasks, such as checking for and correcting spelling errors, according to Microsoft.

Meanwhile, Microsoft has sought to emulate the look and feel of Macintosh, for example matching the gray color of Office 98 tables to that of the Mac color scheme. The previous version of Office for the Mac, ported from Windows, was not "Mac-centric" enough, Microsoft has admitted.

However, Microsoft Office 2010 Download has not yet committed to building Office--or anything, for that matter--for the upcoming Rhapsody operating system. Still, the software has been much anticipated by Mac users and is the first concrete example of the software giant's renewed commitment to the Macintosh platform following last August's spectacular $150 million investment in Apple Computer.

Office 2003 lets you encrypt files so that you need a password to read or edit them. In Word 2003, open the document and click Tools > Protect Document. To restrict the styles that can be applied to the file, check Limit formatting to a selection of styles, and click Settings. Uncheck the styles you don't want to allow, or choose one of the other style-restriction options, and click OK. To make the document read-only, check Allow only this type of editing in the document, and select one of the options in the drop-down menu: Tracked changes, Comments, Filling in forms, or No changes (Read only).

You can also designate the people who can access the file by clicking More users, entering their user names or e-mail addresses, and clicking OK. When you're done, click Yes, Start Enforcing Protection. In the resulting dialog box, choose either Password and enter the password twice that will decrypt the file, or select User authentication, which allows the people you designate to remove the file's protection.

The User authentication option requires Microsoft's Information Rights management, which requires the Windows Rights Management client. This in turn requires a .NET Passport account, and your agreement to the "free trial," though there's no indication if or when the trial will end.

Microsoft Office 2010 Download promises to maintain the privacy of your files, and to make them available for three months after the trial ends, if you maintain the .NET Passport account. There may be a good reason to go this route, but to keep things simple, I stick with the password option. To remove these settings, click Tools > Unprotect document, and enter the password (if you chose this method of protection).

Corporate customers of Microsoft's (MSFT) Office applications are losing a licensing option at the end of this month.

Peter Boit, general manager of volume licensing, said Microsoft will no longer offer concurrent licenses for Office 2010 as of December 1. In Redmond-speak, that means the company will no longer offer the Maintenance Plus and Upgrade Advantage Plus portions of its Select and Open license programs. Customers who already have concurrent licenses will have until the end of their current licensing agreement to switch to a different licensing plan, Boit said.

Concurrent licenses allow large accounts to set a number of users who might use the software, which would run centrally on a server. If a 500-person company has 100 people who are likely to use the product simultaneously, the company would buy a 100-user license. But such licenses require monitoring software to keep tabs on the number of users and are generally too complex, according to Boit.

"Very few of our customers are running [Office] concurrently," he said. "The No. 1 thing we keep hearing is that they want much simpler licensing terms and programs."

The percentage of corporate accounts using Office that have concurrent licenses is in "the low single digits," Boit said.

One industry analyst wasn't convinced that customers were complaining about the complexity and in fact pointed out that some were quite adept at taking advantage of concurrent licenses.

"Savvy customers can use it to drive down costs," said Dan Lavin of market research firm Dataquest. "For example, certain customers were using concurrent licenses around the globe," with a European office taking one shift and the California office signing on nine hours later.

One Microsoft competitor, Corel, jumped on the news as an opportunity to promote its own concurrent licensing schemes. "Corel continues to offer this significant and popular benefit to our customers," a company spokeswoman said in a statement.

Corel last year slashed prices on its own WordPerfect application suite and made it extremely inexpensive to run from a central server.
Microsoft will continue to offer volume licensing and let users run applications from a central server, Boit said, but prices will be set per desktop.

One way Microsoft Office 2010 Download will let multiple users run apps on a central server is with Hydra, the code name for a layer of software for Windows NT Server 4.0. Hydra allows multiple clients of various types to use programs residing on the server. The company has not yet announced any Hydra licensing plans.

The debut of the technology, scheduled to coincide with Comdex in less than two weeks, is part of a plan by the company to offer alternatives to the thin client and network computer models championed by the likes of IBM, Oracle, and Sun Microsystems.
